Designing a Simple Wait Time Dashboard and KPIs for Daily Huddles

A compact, reliable dashboard connects measurement to action. The goal is not to show every metric but to highlight the few numbers that tell whether flow is healthy, where help is needed, and whether experiments are succeeding.

Principles for an effective dashboard

• Show a few metrics (3–6) that tie directly to action.
• Use median + p90 for time-based metrics to capture typical and tail performance.
• Update frequency should match decision cadence (daily for huddles, weekly for leaders).
• Display trend lines not just single-day snapshots so you can see improvement or backsliding.
• Include simple thresholds (green/amber/red) and an owner for each red item.

Suggested dashboard layout — outpatient clinic

1. Median arrival-to-provider (today / 7-day trend) — primary flow metric
2. p90 arrival-to-provider (today / 7-day trend) — tail risk
3. LWBS rate (rolling 7 days)
4. No-show percent (rolling 30 days) — capacity driver
5. Current known bottleneck (text field) + owner

Suggested dashboard layout — emergency department

1. Triage-to-provider median + p90
2. Boarding time for admitted patients (median)
3. LWBS (percent and daily count)
4. ED occupancy (%) or patient per clinician ratio

How dashboards feed the daily huddle

Start your huddle with the dashboard snapshot. If a metric is in amber or red, use the huddle to assign immediate countermeasures (e.g., reassign staff, start a contingency room, call for rapid diagnostic prioritization). Record the owner and time window for follow-up.

Data sources and validation

Prefer automated feeds from the EHR or check-in kiosks to minimize manual reporting. Validate automated timestamps with manual spot checks at least during your first few measurement cycles to ensure data quality.

Example thresholds (customize locally)

• Median arrival-to-provider: Green < 20 min, Amber 20–40, Red > 40 (example; adjust for service type)
• p90: Green < 60, Amber 60–90, Red > 90

Keep the dashboard uncluttered. If leaders ask for more detail, provide a second tab or deeper drill-down rather than crowding the primary view used in huddles.
