Measurement & dashboard guide: KPIs that matter for waste and circular operations

Core KPIs to track

  • Material diverted (weight/time): Mass of materials sent to reuse, recycling, or compost instead of disposal. Useful unit: kg/week or kg/month.
  • Diversion rate (%): (Diverted mass) ÷ (Total mass) × 100. Tracks share of material avoiding landfill/incineration.
  • Single‑use units avoided (count/time): Number of single‑use items replaced by reuse per week or month.
  • Net cost per service or per unit: Include procurement, cleaning/processing, handling, and disposal. Useful when comparing reuse vs single‑use.
  • Return rate (for reuse programs): % of reusable items returned within expected timeframe.
  • Contamination rate (%): Portion of material incorrectly sorted or non‑recyclable within a targeted stream.

Where to get data

Combine supplier reports, point‑of‑use counts, hauler weights, and manual audits. Use the Waste Stream Entry records to tag each KPI to specific streams and locations. If a scale isn't available, convert counts to mass using simple unit weight assumptions and document the conversion.

Dashboard blueprint

  1. Top row: diversion rate, total diverted mass (period), net cost change vs baseline.
  2. Middle row: top 5 streams by diverted mass, top 5 streams by disposal cost, return rates for active reuse pilots.
  3. Bottom row: recent experiments and their outcomes (pilot name, date, success metric change), and notable supplier commitments.

Using the dashboard in a huddle

Run a short, regular huddle (10–20 minutes) focused on one or two metrics: what changed, what was learned, and what action follows. For structure, adapt the Sustainability Metrics Huddle format in this domain — keep reviews short, assign owners, and set time‑boxed experiments.

Common measurement pitfalls

  • Mixing units: Always convert to consistent units for trends (prefer mass for diversion rates).
  • Attributing change prematurely: Short-term changes can be seasonal; rely on repeatable pilots and control groups when possible.
  • Overly granular KPIs: Measure what guides decisions. Start small and expand when you have reliable collection processes.

Note: This guide intentionally focuses on operational metrics. For lifecycle or Scope 3 accounting, combine operational measurements with supplier emissions data and lifecycle analysis tools.
