Microlearning & Digital Work Instruction Template

A practical, platform‑agnostic template for short, visual, step‑focused digital work instructions and microlearning units. Purpose

Create concise, visual digital lessons and step-by-step work instructions that operators can follow, test against, and validate on the shop floor. Designed to reduce variation, speed onboarding, and keep knowledge current as living content.

How to use this template

Copy this template for each discrete task or skill. Keep items short (ideally 1–3 minutes per microlearning unit or one tightly scoped task per instruction). Use a visual for every step and include a measurable success check so supervisors and operators can rapidly validate competence.

Template fields

  1. Title — Short, action-oriented (e.g., "Replace Hydraulic Filter — Model A-10").
  2. Target audience & role — Who should use this (operator level, maintenance tech, line lead).
  3. Estimated time — Total time and time-per-step (e.g., 6 min total; Step 2 = 90s).
  4. Learning objective — What the learner will be able to do, stated in observable terms (e.g., "Install new hydraulic filter and verify no leak at 100 psi").
  5. Success criteria / Acceptance check — Concrete pass/fail criteria (e.g., "No visible leak after 2-minute pressure test; torque to 25 Nm; operator checklist items 1–4 all YES"). Make this measurable and quick to verify.
  6. Pre-checks / prerequisites — Required qualifications, permits, or prior tasks (e.g., LOTO complete, safety glasses, certified for valve work).
  7. Required tools & consumables — Exact tool names, part numbers, PPE. Include alternatives if acceptable.
  8. Safety notes & critical controls — Call out hazards, lockout requirements, and mandatory safety steps that must not be skipped.
  9. Step-by-step visual instructions — Numbered steps. For each step include:
    • Short instruction (one sentence)
    • Visual: photo, annotated image, or short gif (placeholder: [IMAGE])
    • Estimated time (seconds/minutes)
    • Key acceptance check (if any)
  10. Embedded quick-skill test — A simple yes/no or 1–3 question check the operator completes immediately after the task (examples below). Define pass threshold and acceptable retake policy.
  11. Validation / sign-off — Fields for operator name, validator name, date, and optionally a photo or digital stamp. State whether validation is required for release to production.
  12. Revision log & owner — Who owns the instruction, review cadence (e.g., 90 days after first use; annual review), version, and summary of changes.
  13. Tips, common mistakes, and troubleshooting — Short list of what to watch for and how to fix frequent problems.
  14. Links & references — Related SOPs, maintenance procedures, video demos, part catalog entries, and training records.

Rapid floor validation plan

Test the instruction with 3 operators of different experience levels. Observe time-to-complete and acceptance checks. Collect their quick-skill test responses and one short verbal suggestion. If two or more operators fail the acceptance checks, revise the instruction immediately and retest.

Maintenance & living knowledge

Assign an owner who will:

  • Confirm the instruction after the first 7 days of use
  • Review annually or after any related incident
  • Record revisions with date, reason, and approver in the Revision log

Measurement suggestions

  • First-pass competence rate (percentage of operators who pass on first test)
  • Average time-to-competence (days from first exposure to validated competence)
  • Reduction in task-related defects or rework after instruction deployment

Template best practices

  • Keep language direct and action-focused: use verbs and single-sentence steps.
  • Prefer annotated photos over long text. Use video/gif only when it shortens the instruction.
  • Design tests so a supervisor or peer can verify quickly (<60s where possible).
  • Make variant notes when a step differs by model, shift, or plant—do not merge multiple variants into one instruction.
